Chargeback Guide

Step-by-step walkthrough of responding to a chargeback in time.

1. Confirm receipt of the chargeback notice

Check your Merchant Portal daily. Notices typically include the case number, dispute amount, reason code, and your response deadline (usually 10–14 days).

2. Identify the reason code

Common codes: 4855 (Goods/Services not provided), 4853 (Cardholder dispute), 4863 (Cardholder doesn't recognize), 4837 (No authorization). Each reason needs different evidence.

3. Gather supporting evidence

Signed receipt, delivery confirmation w/ signature, refund policy posted at checkout, shipping tracking, customer email correspondence, prior transaction history showing legitimate customer relationship.

4. Submit your response

Upload all evidence through the Merchant Portal before the deadline. Late responses = automatic loss.

5. Wait for issuer ruling

Issuing bank reviews and rules within 30–75 days. If you win, funds are returned. If you lose, funds stay debited.

6. Track your chargeback ratio

Keep it below 0.65%. Above 1% triggers Visa/MC monitoring programs and possible account termination.
